Description

The Contracts & Grants Coordinator is responsible for the day-to-day accounting operations of the Basic Science Division of the Jules Stein Eye Institute. You will provide financial planning, analysis, reconciliation, problem resolution, and detailed reporting of center funds. Manage all contracts and grant awards from inception to closeout, working in conjunction with the Office of Contract and Grant Management (OCGA), Extramural Fund Management (EFM), Purchasing, CAO, PIs, Faculty, and funding agencies. You will also work on UC Path Payroll and Personnel transactions that directly impact extramural funding sources. Responsibilities include: * Proactively monitor and control all financial activity using online systems and databases, and identify potential problems and resolve issues. * Provide monthly detailed analyses and reporting of account activity, expense projections and variances, including ad hoc financial reports for leadership. * Provide recommendations on budget allocations and strategies for resource allocations, including long range planning for faculty, staff, and student salaries and benefits. * Keep apprised of and interpret university and sponsor policy, guidelines and requirements and advise department leadership and PIs of interpretation and application to ensure compliance. * Oversee establishment and monitoring of subcontract agreements and provide guidance to subawardees on University and funding agency policy. * Completion of special projects as assigned by Leadership. Salary Range: $50,700-100,300 Annually

Qualifications

Required: * Ability to work independently and follow through on assignments, meeting critical deadlines with accuracy and minimal supervision. * Demonstrated skills reconciling UCLA campus general and subsidiary ledgers including FSO100, FSO 150 and Payroll to close grants * Demonstrated knowledge of computerized general ledger account and revenue systems for medical education operations. * Strong organizational skills; attention to detail, experience with and detailed working knowledge of MS Windows, e-mail, network systems used in the department, software and hardware terminology. * Ability to provide technical support using various software for non-technical users * Ability to work with frequent interruptions without loss of efficiency and maintain excellent recall of detail. * Interpersonal skills to establish and maintain an effective working relationship with faculty, administrators, staff, and other campus departments. * Demonstrated ability and experience in use of various UCLA online systems such as UCPath, PTR, QDB, RDS, SLS and Payroll Transfers. * Ability to answer questions, solve problems, and make sound recommendations by gathering data, conducting administrative analysis requiring knowledge of University's administration, organization, policies, procedures, and practices. * Demonstrated ability to work with people from a variety of backgrounds and cultures and from different campus entities in a manner that elicits professional and respectful communication. Preferred: * Working knowledge of the principles of accounting. * Ability to analyze and interpret financial information. * Working knowledge of University accounting, on-line processing of various forms, and general payroll /stipend payments, post docs, and fellows appointments, purchasing and billing policies
