Job Title: Department Coordinator, Sync
A little bit about our team:
The sync team is a collaborative group of creatives who are responsible for placing Warner Records' music in films, trailers, television series, video games, promos, and sports programming.
Your role:
As a key member of the Sync Department, you will support a wide catalog of music and interact with various clients across all areas of media. This role will serve as the administrative core of our team and will play a pivotal role in creative support. We are looking for a team member with a basic knowledge of the field of sync, strong attention to detail, well-developed organizational skills, and an extremely proactive approach to both immediate and long-term department goals.
Here you’ll get to:
- Daily assess our department’s vast music library, ensuring all music files have accurate metadata.
- Acquire music files from internal partners (A&R, A&R Admin, etc.), ingest music into our internal system, and prepare music to be sent to clients for e-blasts and specified pitches
- Create, update, and proofread documents, spreadsheets, and presentations on behalf of our team
- Lead all aspects of the maintenance of the team's contact database and shared drive to ensure contacts, files, records and publications are up to date
- Manage the calendar and scheduling on behalf of the Department and Department Head for meetings with artists, clients, and internal partners
- Liaise with various internal partners across Warner Records to gather artist information
- Attend and take notes at general marketing and artist-specific planning meetings for the Department
- Work with the team on the creation of targeted email blasts and themed playlists
- Coordinate ticket solicitations for the Department
- Actively participate in weekly Warner Records department meetings and contribute ideas on how we as a team can develop, grow, and promote our artists, specifically within the sync world
- Represent Warner Records at concerts, showcases, listening events, playbacks, mixers, and other events on a regular basis.
- On occasion, help organize artist showcases for Warner Records artists
- Supervise the team's Emerging Talent Associate
About you:
- Strong verbal and written communication skills
- Excellent at time management, has a robust work ethic, high attention to detail, and thrives in a fast-paced, multi-tasking environment
- Creative problem solver who is proactive, strategic, and analytic
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Thorough knowledge of Canva and DISCO
- Experience in creating visually compelling reports and creative decks to convey key take aways in a professional and concise manner
- Genuine lover of music, sync, and visual media. Avid watcher of films and television, active concertgoer, and fervent music listener.
We’d love it if you also had:
- Knowledge of music publishing and marketing
- Keen and professional insight into how social media platforms are used to successfully promote commercial successes and an awareness of the next generation’s creators of visual media
- A natural affinity toward pop culture and regularly participate in social media conversations surrounding current pop culture trends and events
- Minimum of 1 to 2 years of experience in an administrative and departmental support role within the Music Industry or a satisfactory equivalent of education, training, and experience in related fields and/or educational disciplines, sufficient to qualify for the requirements of the position

Salary Range
$19.75 to $25.00 Hourly
Salary ranges are included for job postings where required by law. The actual base pay is dependent upon many factors, such as work experience and business needs. The pay range is subject to change at any time dependent on a variety of internal and external factors.
