WAGI is seeking a Full-time Front Desk Coordinator to join our medical clinic. The Front Desk Coordinator welcomes patients and visitors in person or on the phone, answering or referring inquiries and checking patients in for medical visits. Optimizes patient s satisfaction, greets patients and communicates a polite and professional manner with focus on the patient.

Responsibilities

  • Meets and greets patients and visitors in a professional and courteous manner
  • Answer telephones, schedule appointments and direct calls appropriately
  • Obtain and verify patient demographic and financial information and all other required forms for accuracy and completeness; enters patient registration information into the EMR (Electronic Medical Records) accurately
  • Enter the obtained information into the practice management system either manually or scanned
  • Collect and process patient copays and remaining patient balances according to WAGI policies
  • Review schedules for accuracy and efficiency and notify the Lead Front Desk Coordinator or Clinic Manager if discrepancy
  • Schedule follow up appointments, diagnostic testing, procedures, and referrals to specialists
  • Explain procedure preps and all details pertaining to the scheduled procedure
  • Process mail
  • Maintain inventory of office supplies
  • Keep reception area neat and clean
  • All other duties as assigned

Qualifications

  • High School graduate or equivalent required
  • Minimum of one (1) year experience in a medical office setting, with a working knowledge of medical terminology preferred
  • Experience and/or training in medical office protocol preferred
  • Knowledge of medical terminology preferred
  • Previous gMed experience preferred

Skills and Abilities

  • Ability to work independently with minimal supervision and prioritize tasks
  • Excellent verbal and written communication skills
  • Strong computer skills with the ability to learn new software and proficiency in Microsoft Office products, specifically Excel and Word
  • Strong data entry skills
  • Basic math skills
  • Ability to multitask in a fast-paced environment with accuracy and professionalism

Physical Activities and Requirements

  • Prolonged periods of sitting/stationary work and performing administrative duties including the use of computers and phones
  • Frequent walking and standing to assist patients and perform duties throughout the clinic
  • Ability to bend, twist, stoop, and reach, occasionally
  • Able to lift and carry supplies and equipment as needed, frequently lifting up to 10 pounds, occasionally up to 25 pounds

This position may offer the opportunity for the candidate to work remotely from their home. Training would be conducted onsite at the Clinic location and the employee may have to work at the Clinic location as needed. Candidates must reside and work in Washington State and due to unique city ordinances that impact employers, WAGI does not allow anyone to work remotely from Seattle, WA. The following conditions must be met for interested candidates in their remote location:

  • Minimum internet connection requirements and surge protection in your home
  • A home work environment that allows you to work free from distractions and sources of background noise and free of potential hazards including tripping hazards, electrical hazards, etc.
  • Ability to secure and protect WAGI supplied computer, phone, and systems and ensure protection of Personal Health Information (PHI)
  • Though this position provides the benefit of telework, it does follow a standard schedule based on the hours of operation

Washington Gastroenterology has an excellent compensation and benefit package that includes the following:

Employees (and their families) who work full time (defined as working 30 or more hours per week) will be eligible for medical, dental, vision, long-term disability, accidental death and dismemberment, and basic life insurance. In addition employees are able to enroll in our company s 401(k) plan which includes a company provided safe harbor contribution of 3% of annual earnings and the potential for a company discretionary profit sharing contribution.

All employees will be eligible to accrue PTO at a rate of .04 hours per payroll hour (1.6 hours for a 40 hour week) which can be used for and exceeds the required mandatory WA State and other local ordinances. In addition, full time employees will be eligible for a Vacation accrual with a maximum annual accrual of 77 hours as a new hire.

WAGI has 8 standard Holidays each year for which full time employees are eligible to receive paid holiday. In addition, full time employees will be given 1 Float Holiday each year that they can schedule.

This is an Hourly position and the anticipated Compensation range is $18.06 - $22.31. The hired applicant is also eligible for annual discretionary bonuses.
